Please read these Booking Terms & Trip Agreement carefully before your adventure.

Big Severn Adventure – Booking Terms & Trip Agreement

Issued by Big Severn Adventure (trading as BSA 360 Ltd) for the 2026 Season

1) Before Your Trip

Before starting your adventure, each guest must complete our Trip Agreement Form. This confirms you:

  • Understand the safety guidance
  • Accept the risks involved in paddling
  • Agree to care for the equipment we provide

For group bookings, each person must complete the form individually.

Guests under 18 must have the form signed by a parent or guardian.

You will also be asked to:

  • Confirm you have read and accepted these Terms & Conditions
  • Declare any relevant medical conditions (e.g. asthma, diabetes, epilepsy, heart conditions)
  • Acknowledge that safety guidance has been explained and understood

2) Definitions

  • We / Our / Us refers to Big Severn Adventure (trading as BSA 360 Ltd)
  • You / Your refers to the person making the booking and all participants included in that booking
  • Trip Gear refers to boats, paddles, buoyancy aids, dry barrels, locks, and any other equipment provided by us

3) Safety & Participation

  • Minimum age is 14
  • Under 16s must share a canoe with an adult
  • Canadian canoes must always be paddled by at least two people
  • All participants must wear a correctly fitted buoyancy aid at all times on the water
  • Alcohol may only be consumed after paddling has finished for the day
  • No alcohol or drugs are permitted while on the water
  • Anyone under the influence will not be allowed to participate
  • Follow all safety instructions given
  • Paddle within your ability
  • Respect wildlife, landowners, and other river users
  • Only stop or land at locations we have indicated as safe and appropriate

4) Looking After Trip Gear

You agree to:

  • Keep all provided equipment in your care throughout the trip
  • Use the locks provided to securely store boats when not in use
  • Return all equipment in the condition it was provided (reasonable wear accepted)
  • Pay for any loss, theft, or damage beyond normal use
  • Use equipment only for the agreed route and dates
  • Not lend, transfer or allow others to use the equipment

5) Bookings & Payments

  • A per-person deposit secures your place
  • Deposits are non-refundable
  • The remaining balance is due 60 days before your trip, unless otherwise agreed
  • If the balance is not paid by the due date, your booking will be treated as cancelled by you and the applicable cancellation charges will apply
  • Once within the balance due period, bookings are considered fully committed

6) Travel & Logistics

You are responsible for getting yourself to the agreed meeting point.

Parking may be available by arrangement, but we cannot accept responsibility for loss or damage to vehicles.

We provide transport to your launch point and collection from your finish point, returning you to the agreed drop-off location.

7) Cancellations

All cancellations must be made in writing by the lead booker. Our cancellation charges reflect the loss of opportunity to re-sell places and the operational costs already committed.

If We Cancel

Trips only run when river and weather conditions are safe.

If we need to cancel due to conditions outside of our control, including river levels, weather, or other safety factors, we will:

  • Offer a free reschedule to an alternative date, or
  • Provide credit towards a future trip

Refunds may be offered at our discretion where appropriate.

Where cancellation is due to reasons within our control, a full refund will be offered.

If You Cancel – Classic Trips (Private Groups)

  • 12+ weeks before trip: Loss of deposit only
  • 12–8 weeks before trip: 50% of total trip cost becomes payable
  • 8–4 weeks before trip: 75% of total trip cost becomes payable
  • Less than 4 weeks before trip: 100% of total trip cost becomes payable

Solo Traveller Trips – Specific Terms

Solo Traveller trips operate as small shared group experiences. Late cancellations can directly affect the viability of the trip for other participants.

  • A deposit secures your place and is non-refundable
  • The full balance is due 60 days before the trip
  • More than 60 days before the trip: loss of deposit only
  • Within 60 days of the trip: the full balance is retained

If you are unable to attend, you may:

  • Transfer your place to another person at any time
  • Request a reschedule, which will be treated under our standard rescheduling terms and may be subject to fees
  • Ask us to attempt to refill your place, in which case we will refund any payments made beyond the deposit if successful

If we need to cancel a Solo Traveller trip due to river conditions, weather, or other safety factors, we will offer a reschedule or credit towards a future trip. You may also transfer to another available Solo trip.

If a Solo Traveller trip does not run due to insufficient group numbers, you will be offered the option to transfer to another trip or receive a full refund.

Rescheduling Your Trip

We understand that plans can change, and where possible we will always try to help you move your booking rather than cancel.

However, as our trips operate on limited availability, rescheduling is subject to the following conditions:

  • Each booking may be rescheduled once only
  • Reschedules requested more than 60 days before the trip will be made free of charge
  • Reschedules requested within 60 days may be subject to an admin fee of up to £50 per person depending on notice
  • Reschedules requested within 30 days will be subject to an admin fee of up to £100 per person and availability constraints
  • All rescheduled trips must be taken within 12 months of the original trip date
  • All rescheduled trips are subject to availability
  • Reschedule requests made within 14 days of the trip are not guaranteed and may be treated as a cancellation under the terms above

Exceptional Circumstances

We understand that serious or unexpected situations can arise, including illness or family emergencies.

In these cases, we may offer additional flexibility at our discretion.

Where appropriate, we may:

  • Hold your booking as a credit for future use
  • Allow you to come back to us when you are ready to rebook
  • Credits issued are non-transferable unless agreed by us

Any such arrangements:

  • Must be used within 12 months unless otherwise agreed
  • Remain subject to availability
  • Do not guarantee access to specific dates

We will always aim to be fair and reasonable, but this does not remove the need to follow the general booking and cancellation terms. Supporting evidence may be requested where appropriate.

Transferring Your Place

You may transfer your booking to another person free of charge if you provide at least 7 days’ notice. In exceptional circumstances, we may accept shorter notice at our discretion.

Accommodation Bookings

Where accommodation is arranged on your behalf, refunds are subject to the accommodation provider’s terms. We will assist where possible but cannot guarantee refunds.

We strongly recommend that all participants take out appropriate travel insurance to cover cancellations due to illness, injury, or personal circumstances.

8) Disclaimer & Liability

Participation is at your own risk, except where loss or injury is caused by our negligence.

We are not responsible for loss or damage to personal belongings.

Dry barrels and bags are water-resistant but not guaranteed to be fully waterproof.

9) Changes to These Terms

We may update these Terms & Conditions where necessary for operational, safety, or legal reasons. The latest version will always be available on our website.

10) Acceptance

By booking (online, by email, by phone, or in person), you confirm that you have read, understood and agree to these Terms & Conditions.
